Administrative Assistant Position
THE COMPANY:
AquaTT is a specialist in marine-related scientific knowledge management and transfer activities. For more than 19 years we have been a key partner in EU-financed projects. AquaTT is a not-for-profit organisation.
More recently, AquaTT has been extremely successful in securing significant grants from the European Commission 7th Framework Programme to implement important strategic RTD projects. AquaTT currently participates in 12 FP7 projects with 218 institutions from 37 countries. The total value of the EC investment in the FP projects in which we participate is > €38M.
THE ROLE: Administrative Assistant
As AquaTT’s Administrative Assistant, you will be at the centre of the team's business operations and activities and will assist our team in moving forward. You will assist the team on their projects by resolving operational and administrative issues before they arise. You will use your excellent organisational skills to support the team's projects. In addition to having excellent attention to detail, you will possess the communication skills needed to interact with a variety of people and carry out a variety of job functions. RESPONSIBILITIES:
- General office management; filing, maintaining office supplies, processing expense claims
- Organising logistics for a variety of internal and external meetings and events; travel, accommodation and meeting room bookings
- Assist with organisation of events
- Assist in preparation of EC reporting documents
- Assist in preparation of communication material; factsheets and presentations
- Updating the content on the AquaTT website
- Assisting in preparing company newsletters
- Manage company’s contact database
- First point of contact via telephone
- Any other tasks which may arise
ESSENTIAL CRITERIA:
- Minimum of 3 years administrative experience or similar in a professional environment
- EEA work authorisation
- Excellent level of English
- Excellent written and oral communication skills
- Excellent organisational skills and detail-orientated
- Sound working knowledge of MS Office systems
- Self-motivated, flexible and the ability to multitask
- Responsible and autonomous - ability to follow instructions/guidelines, utilise initiative and work independently
- Commitment to deliver on tasks to set deadlines
- Excellent ability to work in a team and in multicultural environments
- Ability to effectively prioritise and execute tasks in a high-pressure environment is crucial
- Strong inter-personal and communication qualities within a multi-national context, including discretion, diplomacy and tolerance
DESIRED SKILLS BUT NOT ESSENTIAL:
- Third level qualifications
- Event management experience
SALARY SCALE:
Competitive salary depending on experience + performance related bonus scheme
DURATION:
This is a full-time position with a 12 month contract (Initial 3 month probation) available immediately.
